AI Builder, or a connected language model, parses the email and pulls out the structured details: prospective resident, family contact, type of care needed, desired move-in timeline, which community they asked about, and any payment signal. Anything it is unsure about is flagged for a person to confirm rather than guessed.
  3. It creates the lead record. The flow writes a structured, tracked lead into your system of record, attaches the original email, and keeps a clean history. That can be Microsoft Dataverse in your own tenant, or a senior-living CRM you already use.
  4. It acknowledges the family quickly. A warm, on-brand acknowledgment is designed to go out within minutes, not the next business day, so a family hears back while several communities are still in the running.
  5. It routes and follows up. Your admissions lead gets the lead already filled in and ready to work, with follow-up steps scheduled so nothing goes cold across the long decision window.

Do we need to buy new software?

Often less than you would expect. The build runs on Microsoft Power Automate and AI Builder, and if you already use Microsoft 365 a large part of the foundation is in place. We confirm exactly what is needed, and disclose any per-user or per-flow licensing as a pass-through cost, in discovery. You are not signing up for a new platform to learn from scratch.

Will this replace our staff?

No. It removes retyping and manual chasing, not people. The relationships, the tours, the judgment, and the care all stay with your team. The goal is to give those hours back to the work only people can do.

How is our resident and family data handled?

The system is built inside your own Microsoft tenant, so the data stays in the environment you already control and govern rather than being copied into an outside tool. What does it cost?
